Event Port-a-potties and Hand Wash Stations

The Alliance seeks proposals to lock in three-year pricing for 15 hand wash stations, 3 standard port-a-potties, and 3 ADA-compliant accessible port-a-potties. These would be used for Times Square Alliance events including our September food festival Taste of Times Square, and possibly for other events such as New Year's Eve. Any bids must accommodate our standard indemnification and insurance terms.

Event Wi-Fi

The Alliance seeks proposals to lock in three-year pricing for wi-fi to be used at Alliance events on Broadway Pedesteina Plazas. These would be used for Times Square Alliance events including our September food festival Taste of Times Square, and possibly for other events such as New Year's Eve. Any bids must accommodate our standard indemnification and insurance terms.

Event Staffing

Due Date: August 5, 2024

The Alliance seeks proposals to lock in three-year pricing for Alliance events and street team needs. This would mean an hourly crew for events, including but not limited to attendee check-in at annual yoga event Solstice in Times Square in June; wristband activation for September food festival Taste of Times Square; oversight of our Wishing Wall throughout December; ensuring restaurant guests access to Times Square on New Year's Eve; and street team flyering for assorted events during the year. Any bids must accommodate our standard indemnification and insurance terms.

Mobile Screens for New Year's Eve

The Times Square Alliance is selecting a Mobile LED Screen Services Company for the Times Square New Year’s Eve Celebration in New York City (the “Event”) for the next three years. The Event requires six Mobile LED Screens with generators & modest Sound Reinforcement support for the uptown portion of the Event.

The Times Square Alliance is seeking to secure competitive bids for the 2025/2027 Events (3-Years) based on the equipment, labor and services detailed below.   The Mobile LED Screen Services Company selected for the 2024/2025 Event will also be the Mobile LED Screen Services Company selected for the 2025/2026 and 2026/2027 Event unless the Times Square Alliance is dissatisfied with the equipment, labor or services provided by the Mobile LED Screen Services Company.  Based on the same equipment, labor and services detailed below, the Mobile LED Screen Services Company fee for the 2024/2025, 2025/2026 and 2026/2027 Event will remain the same except for cost increases outside the Mobile LED Screen Services Company’s control or otherwise mutually agreed to by the Times Square Alliance and the Mobile LED Screen Services Company.

All Mobile LED Screen locations and the Engineering labor to operate these units are listed below.  The Event Organizers will supply the required NYC Permits and Broadcast signal distribution (Show=Native 16x9 HD 1080i) to the locations noted.

All LED Mobile units need to have their own power generation on board.

All LED Mobile units need to come equipped with top banner frames or digital equivalents.  We will not require the side banners for this show.  Please include drawings of your signage frames with your quote.  Please include signage lighting information as well.

AUDIO REQUIREMENTS: Where locations specify that Audio is required our expectation is that 4-6 self-powered cabinets be under hung from the LED screen or standard floor bases are provided.  Audio signal De-Embedder’s will be provided by the vendor @ Audio locations uptown as well.

Events Non-Union Payroll Work

Communications Public Relations and Lobbying Firm

Due Date: August 31, 2024

The Times Square Alliance (the Alliance) seeks to engage a public relations and lobbying firm to offer advice, strategies and services to address persistent perception challenges facing Times Square. The three main categories of this scope of work are general promotion of the Times Square district, the Times Square Arts public art program, and the Alliance’s legislative advocacy agenda.   The selected firm(s) will be retained for 6-12 months and will work with our staff to design and implement a creative and proactive multi-month, multi-channel strategy to address our issues.  The strategies, tactics and messaging developed will continue beyond the term of the engagement.
